Changing a Car Claim Assessment Appointment: Confirm the Old Booking Is Replaced

Need a different vehicle assessment time? Reconcile the old and replacement booking, claim reference and transport plans before changing your arrangements.

If you cannot attend a car insurance vehicle assessment, contact the insurer through its official claim channel and ask how to change the existing appointment. Do not assume that requesting a new time cancels the old booking. Before rearranging work or transport, obtain confirmation of the replacement date, location and claim reference, and check that the previous appointment is no longer expected.

This is a booking-reconciliation task, not a fresh claim. Keep using the existing incident and claim reference unless the insurer specifically explains why another process is required. A diary change does not by itself alter coverage, authorise repairs or approve additional costs.

Find the assessment record before requesting a change

Collect the appointment message and your latest claim correspondence. Check the vehicle registration, assessment location, date and time. Note whether the visit is an inspection, another assessment step or a repair drop-off; those are not interchangeable appointments.

Suncorp’s comprehensive car claims instructions state that customers can use their claim number to manage the claim online, including booking, viewing and managing a vehicle assessment. This is Suncorp’s description of its service, not a guarantee that every insurer offers the same online changes or that every appointment can be moved without contacting someone.

Use the actual management options offered for your claim. If the required change is unavailable or unclear, ask the insurer rather than creating a second appointment independently and hoping the records will reconcile.

Make one precise replacement request

A useful request identifies both the appointment being changed and the alternatives you can attend. For example: ‘For claim [reference] and vehicle [registration], I cannot attend the assessment at [location] on [date and time]. Please tell me the available replacement times. Once a replacement is agreed, please confirm whether the original booking is cancelled and which location and instructions apply.’

Provide realistic availability and a working contact method. If the vehicle is stored elsewhere, cannot safely be driven or needs transport arrangements, explain that fact without assuming the booking change automatically resolves it. Do not drive an unsafe vehicle simply to keep an appointment; ask for appropriate assistance through the insurer’s official channel.

Save the submitted request and any acknowledgement. Label them as a request and receipt, not as a completed amendment. If the original appointment is approaching without a response, follow up promptly and ask what you should do about the still-visible booking.

Check the replacement and original together

When the insurer confirms a change, compare the records side by side:

  • Original booking: is it cancelled, replaced or still awaiting action?
  • Replacement: what exact date, time, address and appointment purpose are confirmed?
  • Identity: do both records refer to the correct claim and vehicle?
  • Instructions: must the vehicle be left there, and what documents or keys are required?
  • Dependencies: who needs to update any collection, workshop or transport arrangement?

If an online portal and confirmation email disagree, ask the insurer to reconcile them. Keep dated screenshots or messages so the discrepancy can be explained accurately. Do not treat a successfully saved calendar entry on your own phone as evidence that the insurer’s appointment system changed.

Review hire-car and transport arrangements separately

A replacement assessment date may affect your personal transport plans, but it does not establish a longer hire-car entitlement. Suncorp’s instructions describe hire-car management as available if eligible. Ask separately whether any existing hire booking needs amendment, who must approve it, and what costs or return dates apply.

Likewise, obtain clear instructions before independently ordering towing or agreeing to storage charges. Keep the confirmed booking change separate from any decision about reimbursing those expenses. If your issue is whether a workshop visit authorises work at all, that is a different question from moving an assessment appointment.

For a dispute about the claim decision rather than the appointment itself, our guide to requesting a written car claim decision explains which decision record to seek. A scheduling problem should not be described as a refused claim without evidence.

Brief FAQ before you rearrange your day

Does sending the request mean I can ignore the original appointment? Not necessarily. Confirm its status and ask for instructions if a replacement has not been processed.

Should I lodge another claim to get a new time? First use the existing claim-management channel and reconcile the booking. Do not duplicate the incident merely to obtain an appointment.

Does a changed assessment time mean repairs are approved? No. Ask separately about the assessment outcome, authorised repair scope and any costs payable.

This is general information for Australian readers, not personal financial advice. Assessment arrangements, benefits, hire-car eligibility, excesses and reimbursement depend on your policy, Product Disclosure Statement (PDS), applicable conditions and insurer decisions. A requested or processed appointment change is not coverage acceptance or payment approval.
