If you cannot take a booked insurance claim call, ask to change the appointment through the insurer’s verified channel and obtain confirmation of the replacement time. Sending a request is not the same as securing a new booking, and moving a conversation does not automatically move a document deadline or approve your claim.
This is general information for Australian readers, not personal financial advice. Your policy/PDS, claim circumstances and insurer procedures govern the process and available benefits. The checklist below is practical administration guidance, not a promise that a particular rescheduling service is available for every insurer or claim.
Recover the purpose of the original call
Find the booking message and existing claim reference. Record the proposed date, time and time zone, the team involved, and why the call was arranged. A damage-assessment discussion, a request for missing information and a settlement conversation require different preparation.
Separate a telephone appointment from an assessor’s site visit or a repair booking. Changing one should not be assumed to change the others. If several appointments exist, identify precisely which booking you need moved and which should remain in place.
Suncorp’s home, contents and landlord claims instructions say that if a booked call time does not suit, customers can reschedule online. The same instructions describe online claim tracking and contact using the number supplied during the claim. These are Suncorp-specific workflow features; ask another insurer what its own process supports.
Request a replacement with enough information
Use the insurer’s official account, app or independently verified contact details. Keep your existing claim reference rather than lodging another claim just to obtain a different appointment. Describe the booking you are changing and offer workable alternatives, including your time zone.
For example: ‘For claim [reference], I cannot take the booked claims-team call on [date and time]. Please move that telephone appointment to one of these times: [alternatives and time zone]. Please confirm which replacement is booked, the telephone number you will use, and whether anything is required before the call.’
Use only the personal information needed for the request. If a support person will participate, separately ask what consent or authority the insurer requires. Being present on a call does not automatically authorise someone to receive all claim information or make decisions.
Distinguish acknowledgement from a confirmed booking
An automated message saying your enquiry was received may establish only receipt of the request. Look for confirmation that identifies the replacement appointment or agreed callback arrangement. If the account still shows the original time, ask which record applies instead of assuming the screen will update later.
- Record the accepted date, time and time zone.
- Check the number recorded for the callback.
- Ask whether the original appointment is cancelled or replaced.
- Save the confirmation and any reference for the change.
- Check whether there are outstanding documents or actions before the new call.
Keep the original message too. A short booking history can resolve disagreement about what was requested and when without changing the underlying incident account.
Preserve outstanding actions and safety arrangements
Suppose a claims team requested a repair estimate and booked a discussion about it. Asking to move the discussion does not establish that the estimate can be supplied later. Ask directly whether the original submission date still applies and obtain any agreed change in writing.
Similarly, a rescheduling request does not suspend urgent safety needs, confirm temporary accommodation or authorise repairs. Contact the appropriate emergency service if there is immediate danger. For non-emergency insurance arrangements, use the insurer’s designated channel rather than waiting for the rearranged routine call.
If the conversation concerns a proposed partial settlement, prepare the unresolved issues beforehand. Our partial settlement checklist explains that separate review task; a new call booking is not acceptance or rejection of an offer.
What if the replacement call does not happen?
Record the agreed time, the number you expected to be called on and any message received. Then use the official tracking or contact channel to ask what remains outstanding and request a new confirmed arrangement. Do not guess why the call was missed or treat silence as a claim decision.
Does changing my profile number update the claim? Ask the claims team to confirm the number on the actual claim and booking. A profile change alone does not demonstrate that every relevant record changed.
Does rescheduling protect a complaint or offer deadline? Not automatically. Identify the exact deadline and ask the responsible team for a separate written response about any extension. Seek appropriate advice promptly if your rights may be affected.
